What you need to know about Commissioning a Custom Oil Painting from a Photo:

There's something deeply personal about transforming a cherished photograph into a hand-painted custom oil portrait. As a professional artist who specializes in creating custom paintings from pictures and photographs, I understand how meaningful this process can be for my clients. It’s not just about capturing likenesses – it’s about preserving a moment in a way that feels timeless and special.

Over the years, I've helped dozens of clients transform their cherished photos into meaningful paintings that become the centerpiece of their homes and the heirlooms of tomorrow. That's the magic of custom oil paintings from photographs. They don't just reproduce an image – they breathe life into it, capturing emotions and memories that might otherwise fade with time. In other words, photos capture moments, but paintings capture essence.

Why Commission a Custom Oil Painting?

Artist Katie Peña painting a commission oil portrait of a happy couple in her studio in Raleigh, NC

In our digital age where photos exist primarily on screens, a hand-painted oil portrait stands apart as something tangible and timeless. When I paint from a client's photo, I always communicate with my client on a personal level because I'm not just copying what the camera saw. I'm looking for the story behind the image – the personality in a child's eyes, the specific quality of light that made that beach sunset memorable, the subtle connection between family members that might be easy to miss in a quick glance at a photo.

My clients commission paintings because they want:

  • Something that captures not just how a moment looked, but how it felt

  • Artistic interpretation and emotional depth beyond what a camera captures

  • An artwork that becomes a conversation piece and a focal point in their home, telling their personal story

  • A tangible, heirloom-quality, piece that can be passed down through generations

  • The richness and depth that only oil paint can provide

  • A unique piece that exists nowhere else in the world

Katie is not only enormously talented, she listens to closely to what you are asking for so that she can deliver amazing results! We had her do a portrait of our daughter-in-law's beloved pup. The results were so lifelike it brought tears to our eyes and Katie captured the personality and love just perfectly. -Susan & Jim B.

Choosing the Right Photograph for Your Custom Painting

Selecting the perfect photograph is one of the most critical steps in commissioning a custom oil painting. Not all photographs translate equally well to painted portraits. Here's what to consider when selecting an image:

Technical Considerations:

Resolution and Clarity

I always ask my clients for high-resolution images with clear details, especially for faces and important elements. However, don't be discouraged if your most meaningful photo isn't technically perfect—I can often work with imperfect references. While it is important and preferable to have a clear image to work from, I understand that this is not always possible- especially if all you have are old photographs. In this case, I will work closely with you and discuss options for creating a beautiful portrait based on what you have.

Tip: If choosing between similar photos, select the one with the sharpest focus on the main subject.

Lighting Quality

Photos with natural, directional lighting translate beautifully to paint. Look for:

  • Soft, diffused light (like from a window) rather than harsh flash

  • Visible shadows that create dimension

  • Highlights that define features

  • Some illumination on the eyes

Tip: Early morning or late afternoon outdoor photos often have ideal lighting conditions with warm, directional light. Try to avoid direct overhead light that casts dark shadows around the eyes.

Black & White and Monochromatic

Don't let the absence of color stop you from commissioning a painting. Some of my most rewarding projects have involved breathing color into old black and white family photographs. If there Is high enough resolution, I can transform these monochromatic treasures into vibrant oil paintings with my artistic interpretation. I am able colorize it as long as you provide some additional color reference points. This might be a similar photo of the same person or location in color, or even period-appropriate color references. These simple details allow me to create a painting that feels authentic and brings memory to life in full color. The result often feels like time travel – seeing ancestors or historic moments in vivid color creates an emotional connection that black and white images rarely achieve.

Tip: When possible, provide me with the original digital file rather than a printed version that may have altered colors.

Compositional Elements:

Subject Placement

Strong compositions often follow the "rule of thirds," which I frequently employ in my paintings. It involves dividing the image into a 3×3 grid and placing key elements along these lines. However, what matters most is that the subject feels properly placed within the frame—not too cramped, not too distant.

Tip: Not everyone is going to be an award-worthy photographer. If your photo has compositional issues, I will discuss with you how these might be adjusted in the painting.

Background Elements

Consider what's behind your subject. If the background of your photo appears cluttered or distracting, I may suggest ways to modify it for the painting. This allows focus to stay on the subject and can even enhance the emotional connection felt through the piece.

Tip: For portraits, simple backgrounds often work best to keep focus on the subject.

Emotional and Practical Considerations:

Emotional Resonance

I know I have given you a lot to consider, but remember- the most important factor is your emotional connection to the image. Which photo captures the essence of the subject—their personality, spirit, or a meaningful moment? Technical considerations aside, the photograph that moves you most is often the right choice for a custom painting.

Combining Elements

As a professional artist, I often combine elements from multiple photographs in my paintings—perhaps taking the pose from one image and the facial expression from another. This approach can help me create the ideal reference.

Artistic Interpretation

Consider how much artistic interpretation you're comfortable with. Some clients want a painting that closely matches their photo, while others prefer I use my artistic eye to enhance certain elements or create a more stylized interpretation.

Tip: Be sure to discuss your preferences with me during the initial consultation.

The Custom Oil Painting Process

When you commission a custom painting from a photograph, you're embarking on a collaborative artistic journey. Here's what typically happens behind the scenes:

Initial Consultation

The process begins with a conversation about your vision- either by email, phone call, or often both. During this stage, we'll discuss:

  • The photograph(s) you've selected

  • Size and format options for your painting

  • Any specific artistic interpretations you're hoping for

  • Timeline and investment

Artistic Translation

Once your commission begins, I'll analyze your photograph through my artist's eye, considering:

  • How to enhance color relationships beyond what the camera captured

  • Where to add dimension and depth

  • Which details to emphasize or minimize

  • How to capture the essence and personality of the subject

Progress Updates

During the painting process, you'll receive progress updates at key stages. This allows you to:

  • See how the project is developing

  • Provide feedback on specific elements

  • Witness the transformation from photo to fine art

Completion and Delivery

After final layers and details are complete, your painting will be professionally varnished to protect the surface and enhance the colors. Your new heirloom will be carefully packaged and delivered to your home, ready to be displayed and enjoyed.

What to Expect: Timeline and Investment

Custom oil paintings require time and expertise. Here's a general overview of what to expect:

Timeline

Creating a museum-quality oil painting isn't a rushed process. Oil paint requires proper drying (curing) time between layers to ensure longevity. Most commissions take 10-15 weeks from approval to completion, depending on:

  • Size and complexity of the painting

  • Number of subjects

  • Current commission schedule

  • Seasonal demand (holiday portraits always require booking months in advance)

Investment

As a seasoned artist, my pricing reflects not just the materials and time invested but also the value of a custom, handcrafted piece of art. While prices vary based on a number of factors, quality custom oil paintings typically start at $1,000-$2,000 for smaller works and increase based on size and complexity.

Consider your commissioned artwork as an investment in:

  • A one-of-a-kind piece created specifically for you

  • Museum-quality materials that will last for generations

  • Years of training and expertise from a professional artist

  • An heirloom that appreciates in both monetary and sentimental value

Client Stories: Photos Transformed

Over the years, I've had the privilege of creating countless custom paintings from clients' photographs. Here are a few of their stories:

The Childhood Memory

progress shot of a custom oil painting from a photograph by NC artist, Katie Peña

My client wanted to surprise his wife with a portrait from her childhood, based on a decades-old grainy film photo. I asked him for the story behind the scene, and I immediately understood the love and care that inspired this gift, and how important it was to their family. I worked with my client to make sure the reference image had enough resolution to paint from accurately, and I also provided recommendations for canvas size to ensure that the sentiment behind the project would be accurately captured in the final painting.

I asked Katie to paint something meaningful using an old grainy photo. She used that photo, along with other photos I had and other ideas and created something beautiful... not only did she create something beautiful, but did so in a timely, but not rushed, manner and she communicated every step of the way. I highly recommend Katie if you are wanting something painted to last a lifetime. -Emilio H.

The Memorial Tribute

Perhaps the most meaningful commissions are those that memorialize loved ones. When my client lost her younger brother unexpectedly, she commissioned a painting based on a favorite photograph of him – joyfully leaping into a pristine lake on a summer day. The painting process became part of her family's healing journey, and the finished piece captured not just his likeness but his exuberant spirit and lust for life in a way that continues to bring comfort.

The Beloved Companion

When my husband's brother recently lost his beloved dog Bodie, I wanted to surprise him with something meaningful to honor their special bond. After quietly reaching out to family and friends for photographs, one friend shared the perfect image that captured Bodie's sweet personality and the joy he brought to my brother-in-law's life. The finished portrait is a tangible memory of a cherished friend. The painting serves as a daily celebration of Bodie's life and the happiness he brought to everyone who knew him.

Frequently Asked Questions About Custom Oil Paintings from Photos

Photo Selection Questions

What makes a photograph suitable for translation into a painting?

The best photographs for painting have clear details of important features, good lighting with some dimension (highlights and shadows), and meaningful composition. That said, I can work with various reference materials—even combining elements from multiple photos. During our consultation, I can evaluate your photos and suggest the best options.

How do I know if my photo has high enough resolution?

To determine if your photo has sufficient resolution for a custom painting, view it on your computer (not your phone) and enlarge it to the size you want the finished artwork to be. If the image becomes pixelated or blurry when enlarged, it likely doesn't have high enough resolution for optimal results. A good rule of thumb: if you can see distinct pixels or the image looks fuzzy when viewed at your desired painting size, consider choosing a different photo.

Can low-resolution or old photographs be used?

Yes, with certain limitations. I can work with vintage or lower-quality photos for less detailed paintings; however, I may need to interpret missing details or color information in order to preserve the essence of the original. Significant modifications may be subject to a separate design fee.

Can you fix problems in my photo when creating the painting?

Absolutely. Common adjustments include removing modern elements from historical photos, adjusting unflattering lighting, removing distracting background elements, combining people from different photos, enhancing colors, or even changing settings entirely. These modifications should be discussed during the consultation phase. Significant modifications may be subject to a separate design fee.

How many photographs should I provide?

For a single subject, one excellent reference photo is ideal. However, additional images of the subject, at different angles (including videos), are also extremely helpful to get a better understanding of likeness and personality. For complex compositions or when combining subjects, provide all relevant reference materials.

Process and Timeline Questions

How long does the custom painting process take from start to finish?

Most custom oil paintings require 10-15 weeks from approval to completion. Factors affecting timeline include size, complexity, number of subjects, and my current commission schedule. Rush commissions may be possible for an additional fee but are limited by the physical drying time oil paint requires.

Will I see the painting during the creation process?

I share progress images at key stages—typically after the initial sketch or underpainting, at the midpoint, and as the painting nears completion. This allows you to provide feedback and see the transformation as it happens.

Can I request changes during the painting process?

Yes, I welcome feedback at specific stages. Major compositional changes are easiest to accommodate early in the process, while smaller adjustments to details can be made later. Once the painting has progressed significantly, substantial changes may require additional fees.

What happens if I'm not satisfied with the final painting?

It's important to remember that commissioning a piece of art is a collaborative process. I work closely with my clients to understand their vision and ensure they are satisfied with the final result. This is why progress updates are important—they allow for adjustments before completion. I strive to tailor each experience to the unique vision and preferences of my clients, ensuring that the final creation surpasses expectations!

Technical and Artistic Questions

How closely will the painting match my photograph?

A custom painting is an artistic interpretation, not a mechanical reproduction. While the likeness will be faithful, I bring my unique vision to enhance color, emphasize important details, and create a more impactful image. The degree of interpretation versus strict adherence to the photo will be discussed during your consultation.

What size painting should I commission?

Size recommendations depend on the subject matter, level of detail, and where you plan to display the artwork. During our consultation, I can recommend appropriate dimensions based on your specific needs.

What type of oil paint and canvas do you use?

I only use archival-quality materials. This typically includes professional-grade oil paints (brands like Winsor & Newton, Gamblin, or Rembrandt), acid-free cotton or linen canvas or wood panel, and proper preparation techniques. Once cured, the painting is finished with a protective varnish to ensure longevity.

Can you paint in a specific style?

Though I specialize in creating realistic representations (using the same techniques as the Renaissance masters), I am able to adapt my technique to different styles. During our consultation, we will discuss any style preferences to align with your vision.

Investment and Practical Questions

How is pricing determined for custom oil paintings?

I work to tailor each experience to the unique vision and preferences of my clients, ensuring that the final creation surpasses expectations. As a seasoned artist, my pricing reflects not just the materials and time invested but also the value of a custom, handcrafted piece of art.

Factors affecting price include:

  • Size (larger paintings cost more)

  • Complexity (multiple subjects, detailed backgrounds)

  • Timeframe (rush commissions may cost more)

  • Additional services (custom framing, shipping)

Please take a look at my commissions page and my post about commission pricing to learn more about the process, and don't hesitate to reach out to discuss your goals and options for working within your budget.

What deposit is required, and when is final payment due?

I require a non-refundable deposit of 50% to secure your place in my commissions queue and a second payment of 25% mid-way. The remaining balance is due upon completion, before shipping or hand-off of the finished painting.

Do you offer custom framing services?

I am happy to discuss framing options with my clients because selecting the right frame for your art has the power to elevate the aesthetic with another level of depth and emotion. If you choose to have your piece framed for you, the cost of framing your art will be added to the final price. I can also suggest appropriate framing options based on the painting's style and your home décor.

How are custom paintings packaged and shipped?

I use specialized packaging materials to protect artwork during transit. This typically includes acid-free tissue, corner protectors, sturdy boxes, and appropriate cushioning. Paintings are shipped via insured carriers with tracking information provided to the client. I accept paint commissions from across the US, and I will ship the finished work securely to your door.

Is there a warranty or guarantee for the painting?

Quality custom paintings should last for generations when properly cared for. Proper care instructions will be provided with your finished painting. If you experience any issues, please reach out to me directly at katie@katiepena.com.
